HR Assistant – UK (Brighton)

Role Overview:

We are looking for a proactive and detail-oriented HR Assistant to support our HR team with day-to-day people administration, HR system management, and reporting. In this role, you will work closely with the HR team to ensure accurate employee data management across the employee lifecycle using BreatheHR and assist in maintaining efficient HR processes and documentation.

Roles & Responsibilities:

HR Administration & Employee Lifecycle Management

  • Maintain accurate employee records in BreatheHR across the full employee lifecycle, including joiners, internal changes, and leavers.
  • Support HR administration tasks such as preparing contracts, letters, and employee documentation.
  • Ensure all employee records and HR documentation are accurately maintained and securely stored.
  • Assist with onboarding administration and employee data updates within HR systems.

HR Systems & Data Management

  • Assist in assessing and improving the organization’s existing network infrastructure.
  • Ensure HR data accuracy and maintain data integrity within HR systems.
  • Act as a first point of contact for queries related to HR systems and HR administrative processes.

Reporting & HR Data Insights

  • Produce basic HR reports such as headcount, absence tracking, and employee turnover for the HR team.
  • Support the HR team in compiling HR data for internal reporting and analysis.
  • Assist in maintaining HR dashboards and tracking key people metrics.

Compliance & Confidentiality

  • Ensure HR data handling complies with UK GDPR regulations and company confidentiality standards.
  • Maintain secure and compliant HR record management practices.
  • Support HR compliance processes and internal documentation standards.

HR Projects & Process Improvement

  • Assist the HR team in implementing HR process improvements and system updates.
  • Provide administrative support on HR initiatives and internal projects.
  • Contribute to improving HR operational efficiency and documentation practices.

Required Skills & Qualifications

  • Previous experience in an HR Assistant, HR Administrator, or People Support role.
  • Hands-on experience using BreatheHR or a similar HR management system.
  • Strong attention to detail with the ability to handle confidential HR data responsibly.
  • Good working knowledge of Microsoft Excel and general IT systems.
  • Understanding of UK HR administration practices and data confidentiality requirements.
  • Strong organisational skills with the ability to manage multiple administrative tasks effectively.
  • A positive, proactive attitude and willingness to learn and develop within the HR field.

Nice to Have

  • CIPD Level 3 qualification or currently working towards it.
  • Experience supporting absence management or HR reporting.
  • Exposure to recruitment coordination or onboarding administration.
